Refund Policy for Fire Risk Assessment For Flats

At Fire Risk Assessment For Flats, we aim to provide a fair, transparent and professional service to all customers. This Refund Policy explains how booking payments, cancellations, appointment changes and refund requests are managed when you book our fire risk assessment services.

Please read this policy carefully before making a booking.

1. Introduction

By booking a service with Fire Risk Assessment For Flats, you agree to the terms set out in this Refund Policy.

We understand that circumstances can change and will make reasonable efforts to accommodate cancellation and rescheduling requests whenever possible.

2. Booking Payments

Payment may be required at the time of booking or before the scheduled assessment, depending on the service arranged.

Payments help secure your appointment and cover scheduling, administration and the allocation of a competent fire risk assessor.

3. Customer Cancellation Policy

Cancellation More Than 48 Hours Before the Appointment

If you cancel your booking more than 48 hours before the scheduled appointment, you may be eligible for:

  • A full refund; or

  • Rescheduling your appointment without additional charges,

subject to the circumstances of the booking.

Cancellation Within 48 Hours

If you cancel within 48 hours of the scheduled appointment, an administration charge may apply due to reserved appointment time and scheduling commitments.

Any refund request will be considered on a case-by-case basis.

Same-Day Cancellation

Appointments cancelled on the day of the scheduled visit may not qualify for a refund.

This is because assessor time and resources have already been allocated to your booking.

4. Missed Appointments

If our assessor is unable to carry out the scheduled assessment because access is not available, the appointment may be treated as a missed appointment.

Examples include:

  • No access to the property

  • Customer or responsible person unavailable

  • Incorrect property details provided

  • Tenant or site representative unavailable without prior notice

  • Access restrictions not disclosed before the appointment

In these situations, refund requests may not be approved.

Where a further visit is required, a rebooking fee may apply.

5. Property Access Requirements

Customers are responsible for ensuring that:

  • Safe access to the property is available at the agreed appointment time.

  • Any required permissions have been obtained.

  • Relevant occupants or building representatives have been informed where necessary.

  • Areas required for the fire risk assessment can be safely inspected.

Failure to provide suitable access may affect eligibility for a refund.

6. Rescheduling Appointments

We appreciate that plans can change.

If sufficient notice is provided, we will make reasonable efforts to arrange an alternative appointment date and time that is suitable for both parties.

7. Service Delivery Concerns

If you believe your fire risk assessment service has not been delivered as expected, please contact us as soon as reasonably possible.

We will review the matter fairly and investigate the circumstances before deciding whether a refund, partial refund, credit or another appropriate resolution is applicable.

8. Circumstances Beyond Our Reasonable Control

Occasionally, appointments may need to be postponed due to events outside our reasonable control, including:

  • Severe weather conditions

  • Public safety or emergency incidents

  • Transport disruption

  • Technical or operational issues

  • Other unforeseen circumstances

Where this occurs, we will work with you to arrange an alternative appointment or another suitable solution.

9. Refund Processing

Where a refund is approved, we aim to process it within a reasonable timeframe.

The time taken for funds to appear may vary depending on your payment provider, financial institution or payment method.

10. Situations Where Refunds May Not Be Available

Refunds may not be available in circumstances including:

  • Missed appointments

  • Failure to provide access to the property

  • Same-day cancellations

  • Incorrect booking information supplied by the customer

  • Completed fire risk assessment services

Where appropriate, each request will be reviewed individually.

11. Requesting a Refund

If you wish to request a refund, please provide:

  • Your full name

  • Booking reference or appointment details

  • Property address

  • Scheduled appointment date

  • The reason for your refund request

Providing complete information will help us review your request as quickly as possible.

12. Complaints and Dispute Resolution

If you are dissatisfied with a refund decision, you may submit a complaint in accordance with our Complaints Policy.

We will consider all complaints fairly, objectively and in line with our internal review procedures.
